From our business customers and their users - Account and contact details: name, title, company, email address, phone number, and the record of your acceptance of our Terms of Service (name, date and time, IP address, and browser type at acceptance). - Billing details: billing address, business name, and any tax ID you choose to provide. Payments are processed by Stripe; we do not receive or store full card or bank account numbers. - Service usage: the carriers you look up (such as MC and DOT numbers), the results returned, timestamps, your API key's identifier, and the IP address of each request. API keys are stored only in hashed form. - Support and communications: emails, calls, and messages you send us, and email sent to our intake mailboxes.
About motor carriers we screen - Public and government data: operating authority, insurance filings, and safety records published by the Federal Motor Carrier Safety Administration (FMCSA); federal exclusion (debarment) records from SAM.gov; and the U.S. Treasury OFAC sanctions list. These relate mainly to businesses but can include the names of owner-operators. - Documents submitted for vetting or loads: certificates of insurance, W-9s, carrier agreements, rate confirmations, bills of lading, and similar paperwork, which may contain names, signatures, contact details, and tax identification numbers. - Contact and dispatch details: dispatcher and driver names and phone numbers used to coordinate a load, including text-message reminders.
From visitors to our website - Our web server records standard request information (IP address, page requested, time, browser type) for security and troubleshooting. We do not use advertising or analytics cookies or trackers.
To provide and secure the Service; to screen carriers and record the evidence behind each decision; to operate loads, documents, and invoices in the TMS; to bill and collect payment; to provide support and send service messages; to detect and prevent fraud, abuse, and security incidents; to comply with law and respond to lawful requests; and to maintain and improve the Service. We do not sell personal information and do not use it for targeted advertising.
Some incoming emails and documents (for example, rate confirmations, proofs of delivery, and remittance notices) are read by an AI service (Anthropic) to classify them and extract details such as load and carrier numbers. This processing is done under Anthropic's commercial terms; we do not authorize it to use your data to train its models. Carrier approval decisions are made by a person; the system never approves a carrier on its own.
Service providers that process data for us under contract, only to run the Service:
| Provider | What it does for us |
|---|---|
| DigitalOcean | Hosting and document storage (United States) |
| Backblaze (B2) | Encrypted off-site backups |
| Microsoft 365 | Email, intake mailboxes, and staff sign-in |
| Stripe | Payments, billing, and sales tax calculation |
| Anthropic | Automated reading of incoming documents (Section 4) |
| Twilio | Text-message reminders |
| Carrier411 | Ongoing carrier monitoring, where enabled |
Others: the customer who requested a vetting receives its results; government authorities or others when required by law, legal process, or to protect rights and safety; and a successor in a merger, acquisition, or sale of assets, subject to this Policy.
Encrypted connections (HTTPS), access controls and Microsoft sign-in for staff, hashed API keys, audit logging, and encrypted off-site backups. No system is perfectly secure; we will notify affected customers of a security breach as required by law. Mercy Raine does not currently hold a SOC 2 report or FedRAMP authorization.
The VetGate console and TMS use cookies that are strictly necessary to keep you signed in. We use no advertising or analytics cookies. Stripe sets its own cookies on its checkout pages under its own privacy policy.
You may ask us to access, correct, delete, or receive a copy of personal information we hold about you, and to opt out of any sale or targeted advertising (we do neither). Depending on where you live, laws such as the Tennessee Information Protection Act may give you these rights; we honor these requests whether or not a particular law requires it, except where we must keep information to meet legal obligations or to preserve the vetting audit trail.
Send requests to John.Gladmon@mrfreightbroker.com. We will verify your identity before acting and respond within 45 days (or tell you if we need up to 45 more). If we decline, you may appeal by replying to our decision; if your appeal is denied, you may contact your state attorney general (in Tennessee, the Office of the Attorney General).
If you are a carrier we have screened: most of what we hold comes from public government records. You may ask us to correct information that is wrong; we may keep the original record and our correction together as part of the audit trail.
The Service is for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.
In the United States.
We may update this Policy. We will post the new version here with a new effective date and, for material changes, notify customers by email or in the Service.
This Policy is governed by the laws of the State of Tennessee, consistent with the VetGate Terms of Service.
